Refund & Cancellation Policy

This Refund & Cancellation Policy ("Policy") governs subscriptions, billing, cancellations, and refund eligibility for company workspaces subscribing to NexHR services. This Policy is incorporated by reference into the NexHR Terms of Service.
1. Subscription Plans & Billing Frequency
NexHR provides tiered software-as-a-service (SaaS) subscription plans based on feature access and active employee headcounts.
- Advance Billing: All subscriptions are billed in advance on a recurring monthly or annual basis depending on your selected cycle.
- Renewals: Subscriptions automatically renew at the end of each billing period unless cancelled prior to the renewal date.
2. Free Trial & Trial Conversion
- NexHR may offer a free trial period (typically 14 or 30 days) to new companies to evaluate the platform.
- No payment details may be required to initiate a trial. If you do not enter billing details before the trial ends, your workspace status changes to `TRIALING` or `SUSPENDED`, and admin/employee features will be locked.
- Upon entering a payment method, your subscription cycle starts, and you will be billed for your selected plan.
3. Cancellation Policy
- Cancellation Process: Workspace administrators can cancel the company subscription at any time directly through the Billing section of the Employer Web Portal.
- Cancellation Effective Date: Upon cancellation, your subscription will remain active until the end of the current paid billing cycle. You will continue to have full access to features and employee records until that cycle ends. No further recurring charges will be processed.
4. Refund Eligibility
- No Prorated Refunds: Except as mandated by local laws, NexHR does not provide refunds, credits, or prorated adjustments for mid-cycle cancellations, unused seats, or partial service periods.
- Final Sale: All subscription payments are final. If you cancel your monthly plan 10 days into a 30-day billing cycle, your service continues for the remaining 20 days, and no refund is issued for the unused portion of the month.
- Exceptions: We may evaluate refund requests on a case-by-case basis in the event of documented technical service outages exceeding 48 consecutive hours or billing errors on our part.
5. Failed Payments & Grace Period
- If a recurring charge fails (due to credit card expiry, insufficient funds, or network block), we will retry the transaction up to three (3) times over a 7-day period.
- Grace Period: We grant a 7-day grace period during which workspace features remain active.
- Suspension: If payment is not secured within 7 days, the workspace status shifts to `PAST_DUE` or `SUSPENDED`. Active employee check-ins will be blocked, and data access will be restricted until the invoice is settled.
6. Upgrades & Downgrades
- Upgrades: If you upgrade your plan mid-cycle, you will receive immediate access to the new features. We will bill you for the prorated difference for the remainder of the current cycle.
- Downgrades: If you downgrade your plan or reduce the active employee seat count, the change will take effect on your next scheduled billing renewal date. No mid-cycle refunds or credits are issued for downgrades.
7. Taxes
All subscription fees listed on our website or portal are exclusive of applicable taxes (including Goods and Services Tax / GST in India), which will be added to your invoice at the prevailing statutory rates.
8. Subscription Termination
If we terminate your workspace account due to a violation of our Terms of Service, you will forfeit any remaining subscription balance and will not be eligible for a refund.
