# NexHR Account & Data Deletion Policy

This document details the policies, procedures, and options regarding account deactivation and personal data deletion across the NexHR platform.
1. Important Legal Distinction: Account Deletion vs. HR Record Retention
It is critical to distinguish between **User Account Deletion** and **Employer HR Record Retention**:
**User Account Deletion**: Deletes or deactivates your active NexHR login credentials, profile session access, device bindings, and personal profile information, disabling access to the NexHR applications and web portals.**Employer HR Record Retention**: Historical business and workplace metrics—such as attendance logs, shift assignments, approved leaves, designation history, salary structures, and payroll calculations—are owned by the **Employer** (the subscribing company) as part of their employment and operational records. Under applicable labor laws, statutory tax regulations, and accounting standards, Employers may be required to retain these business records for mandatory statutory audit periods. Deleting an Employee account does not automatically purge employer-owned business records from the company's workspace. Employees seeking deletion or modification of workplace records should contact their respective employer's HR administrator.
2. Employer Account Deletion (Workspace Deletion)
Workspace Owners can delete their NexHR company account and workspace:
**Scope**: Workspace deletion terminates the company subscription, revokes access for all company administrators and linked users, and marks company workspace configurations, branch details, department structures, and associated company data for permanent purging.**Processing**: Upon identity verification, workspace access is suspended immediately, and company data is permanently removed from active systems in accordance with standard data retention schedules.
3. Employee Account Deletion
Employees can delete their NexHR Employee App account:
**Scope**: Account deletion deactivates your login session, removes registered device bindings, and clears your personal profile details and profile images from active authentication systems.**Processing**: Account deactivation is effective immediately upon confirmation, and personal login credentials are removed from active databases.

To delete your account:

2. Select your account type (**Employer Account** or **Employee Account**).
3. Enter your registered mobile number or email address.
4. Complete the identity verification step (OTP verification).
5. Click **Delete Account**.

To prevent unauthorized or fraudulent account deletions:
All deletion requests require multi-factor identity verification (such as an OTP sent to your registered mobile number or email).Deletion requests are processed only after positive identity confirmation.
6. Data Retained for Statutory & Business Purposes
NexHR may retain specific operational logs, audit trails, subscription billing invoices, or legal compliance records where required by applicable law, tax regulations, or legitimate security and fraud prevention purposes.
